Privacy Policy

EasyTime ("we," "our," "the App") is a workforce attendance, HR, and payroll management platform used by employers to manage their own employees. This policy explains what information the EasyTime mobile app and web platform collect, how it's used, and how it's protected. EasyTime is provided to your employer as their software vendor — your employer controls your account and data as the data controller; we process it on their behalf.

Information We Collect

• Account & employment information: name, employee ID, department, position, contact details, and other HR/payroll fields your employer maintains about you.
• Attendance data: check-in/check-out timestamps, whether recorded from a physical biometric device (fingerprint/face terminal at your workplace) or the mobile app.
• Location data: when you punch in/out from the mobile app, your device's GPS coordinates are recorded at that moment, used only to confirm you were within your employer's approved work location (geofence). We do not track your location at any other time or in the background.
• Photos: a profile photo you upload, and any receipt images you attach to an expense claim.
• Push notification token: used to deliver app notifications (leave approvals, announcements, reminders) to your device.
• Biometric templates (fingerprint/face), where applicable: captured and stored only by your employer's own physical ZKTeco-compatible terminal hardware at their premises — the mobile app itself never accesses your device's fingerprint sensor or camera for biometric enrollment.

How Information Is Used

Data collected through EasyTime is used solely to provide the service to your employer: recording and calculating attendance, processing payroll, managing leave and HR records, generating reports, and sending you relevant notifications. If your employer enables the optional EasyTime AI assistant, your data may be processed by our AI provider (Anthropic) strictly to answer that specific request — never used to train external models, and never shared beyond what's needed to generate the response.

Data Sharing

Your data is only visible within your own employer's EasyTime account and to the necessary EasyTime platform administrators for support and maintenance. We do not sell your personal information to third parties or use it for advertising.

Data Retention & Your Rights

Your employer determines how long your records are retained, consistent with applicable labor and record-keeping law. To access, correct, or request deletion of your personal data, please contact your HR department first, since they administer your account; you may also reach us directly using the details below.

Security

All data is transmitted over encrypted (HTTPS) connections and stored on access-controlled infrastructure. Access within EasyTime is restricted by role, so employees can only see their own records and administrators only see their own company's data.

Children's Privacy

EasyTime is a workplace tool intended for use by employed adults and is not directed at children. We do not knowingly collect data from children.

Changes to This Policy

We may update this policy as the App evolves. Material changes will be reflected by updating the date at the top of this page.
